Agresso - How to Designate a Substitute for Timesheet Approval

Please Note: If this is your first time setting up a substitute timesheet approver, please scroll down further below for a current work-around on how to do so.

 

Log into Agresso and select Your Employment >> Activate Your Substitutes.

 

Activate Your Substitutes

 

Under the Your Substitutes option, the out of office date range and substitutes can be setup.

  1. First, set up the Absence status. Change it to I am currently out of the office.
  2. Select the Absence date from.
  3. Select the Absence date to.
  4. To set up Timesheet substitutes, on the Type column select Element Type.
  5. On the Element Type column select Timesheets.
  6. Then, select the substitute on the Substitute column.
  7. For the Valid from , enter the same date as above or a different date.
  8. Same as the Valid until column.
  9. After everything is setup select Save at the bottom of the screen. Note: The Absence date to or the Valid Until dates will expire the substitute approval period, so this does have to changed once you return.

Note: It is recommended that you select a primary substitute and a secondary substitute to cover for any unexpected absences and to ensure that timesheet approval occurs without delay. This is done by adding a new row for each substitute.  

 

Work-Around for First-Time Substitute Approval Set-Up
Issue: The username does not appear in the WF user field to set up a substitute timesheet approver if a user has not previously set up a substitute. Until the next update is installed to resolve this issue, please use the following work-around:

  1. Open the Activate your Substitutes screen.
  2. Click Save without trying to change anything.
  3. Then click Clear - this should activate the Absence status field and their username should show in the WF user field.
  4. Select the required drop down options and then tab out. The rest of the fields should now activate and the user can Save.
