Laserfiche Web Access 101
Laserfiche allows you to store, organize, and access your organization’s information according to your organization’s procedures and preferences. It provides complete control over what type of information is stored, where it is stored, how long it is kept, and who can view that information. Laserfiche also allows you to add, modify, and delete content.
To log into Laserfiche:
Open a web browser (Internet Explorer, Chrome or Firefox); in the address bar type the following:
Option 1: Login using the Windows Authentication if connected to the VPN or HQ Network.
Option 2: If your Windows Authentication login does not work, enter your HeiferID and password to login.

Navigating the Folder Browser Interface
As mentioned, the Folder Browser is the primary interface to browser folders and documents in Laserfiche that allows you to view any folders or sub folders to which you have access. The available panes as numbered below are the Search Pane ( 1 ), Folder Pane ( 2 ), Contents Pane ( 3 ), and Details Pane ( 4 ).
- In the Folder Pane, clicking on the arrow will display the sub folders in the Folder Pane only. Selecting/clicking a folder name will display the sub folders in the Contents Pane to your right. You can also s elect a folder in the Contents Pane to display the sub folders. You can utilize the breadcrumb menu below the Search bar.
Displaying/Opening a file
Click on the file you wish to open – you may see this pop up – click on Edit or View according to your needs.
Please Note: If you don't have the Microsoft Office Integration installed to open files for Microsoft documents, a pop will open requesting to do so. Note: If using the Chrome browser, use the the Chrome Store link, instead of the Install button to download the Laserfiche Web Access Extension for the installation.
Important : If you click on View, then make changes, you cannot save the file as a "new" version of the document in Laserfiche. You will have to save it as a New Document. You must click on Edit to make any changes.
Document Viewer/Image Viewer
When you click to view a document or image that has been added to be viewed within Laserfiche such as Learning Libary documents, the content is opened in the Document/Image Viewer whereas documents can be browsed document via thumbnails to view page by page as shown below. If you have sufficient privileges to a document, the Document/Image Viewer allows you to make changes to it including applying annotations, setting field data, modifying text associated with each page, and managing the pages in the document.
1. Search Repository
You can search Document text, entry names, all fields, entry names, or annotation text, or a combination of these. (Default is: Document text, all fields and entry names).
2. Display Options
To show/hide the left side Folder Pane, check or uncheck as shown above. See the following menu items below for an overview of the Display Options menu:
Column Picker: Pick the columns to be displayed; they can be rearranged in the order you would like to see them.
Save Profile: Once you get the columns you like; Save the Profile
To retrieve the Profile if columns get messed up:
Sort Columns: Chose the Column you would like to sort by (click for ascending/descending)

7. Starred, Recently Opened Documents & Recycle Bin
Starred Document & Folder:
You can quickly view the last 10 documents you recently opened under the Recently Opened Documents Icon. This list is specific to you; other users will not be able to see which documents you recently opened.
Recycle Bin
When documents , folders , pages, and electronic files are deleted, and the recycle bin is active, they are moved to the recycle bin . The recycle bin is an intermediary hold area to prevent permanent deletion.
Once an item is in the recycle bin, you can restore the document unless it has been permanently purged, by an administrator or on a schedule (90 days) . If you have been granted the appropriate rights, you can also permanently purge the item yourself.
If a document is deleted, the document along with all of its contents will be sent to the recycle bin. If a folder is deleted, the folder and all of its contents will be sent to the recycle bin. Shortcuts cannot be moved to the recycle bin. If a shortcut is deleted, it cannot be restored. In addition, if a document version is deleted from the version history, it will be immediately deleted and will not go to the recycle bin.
