Zoom - How to Set Up a Meeting Scheduling Delegate
Getting Started
Setting a Meeting Delegate with a 'scheduling privilege' is designed for a delegate to schedule meetings on behalf of another user.
- You can assign or delegate a user or multiple users in your account to schedule meetings on your behalf.
- You can also schedule meetings on behalf of a user (or multiple users) that has assigned you scheduling privilege.
- Users with Scheduling Privilege on your account will be able to manage and act as an alternative host for all meetings.
Setting a Delegate
How to Set Scheduling Privilege
- Login to your Meeting Settings.
- Click 'My Meeting Settings' on the left navigation pane.
- Under Other, click the next to Assign scheduling privilege to.
- Enter one or more email addresses in the window, separated with a comma.
- Click Assign.
- If the user was assigned successfully, they will appear under Assign Scheduling Privilege to
- If scheduling privilege cannot be assigned because the user is not on the Heifer account, you will receive an error message.
Create a Meeting in Outlook
In Outlook, open calendar of the person you wish to create the Zoom meeting for.(you must be set as a delegate in Outlook beforehand)
- On the person's calendar, right click and select New Meeting Request.
- Now select Schedule a Meeting Zoom
- You will see a Zoom meeting options box.Notice the person's name you have scheduling privileges for appears in the Schedule For box.See screenshot below.
- Click continue and the meeting details are populated into the meeting invite.
- Continue scheduling as you normally would in Outlook.
